Background

Clareti has implemented Zoho at a number of healthcare services companies who work between the NHS and commercial and non-commercial innovators in the UK and beyond. Their goal is to improve organisational efficiencies and patient outcomes where possible by resourcing and integrating new innovations into the NHS.

The Challenge

All of these healthcare services organisations had operated quite independently and had brought together a diverse range of applications, a lot of which were badly supported and out of date. Some even worked solely on spreadsheets with little in the way of modern web-based systems.

Following a review of their operation many decided to seek an improved approach to the technology used to manage and report on the work of their organisations.

A full range of applications was required to manage innovators but also to run internal projects, events and communication campaigns.

The Approach

The use of Zoho One and its wide variety of applications was the obvious solution to replace their diverse range of legacy software. 

All of the service organisations needed a more automated way of collecting information from technology or process improvement innovators who wanted to work with the NHS but had no easy way into this large and complex organisation.

A comprehensive series of complex website forms using Zoho Forms was created and deployed to collect information which fed directly into their Zoho CRM system and alerted internal stakeholders. Data validation was automatically carried out and data-similars managed by a new process developed by Clareti using Zoho Dataprep.

A full rollout of Zoho Projects was initiated to replace an ageing project management package which lacked ongoing support and was inflexible. A complex series of reports and dashboards was prepared in Zoho Analytics in order to provide quarterly reports containing information on who they had dealt with during the previous quarter and the value provided.

Zoho Backstage was used for the large amount of events that were held every quarter and Zoho Campaigns for newsletter and general communication.

Zoho Desk was deployed as an internal IT support tool to replace shared mailboxes and provide more structure and monitoring of requests.

Results

  • An integrated, sustainable technology roadmap was developed for each of these organisations with Clareti designing the data flows and Zoho Applications that would be required to establish a new more integrated set of critical applications.
  • Most of the implementations were complete within around 3 months and legacy 3rd party applications ended saving considerable sums on unnecessary subscriptions.
  • Reporting became significantly easier using Zoho Analytics and large time savings accrued through the use of report automation within CRM and the use of button functions to create records on a quarterly basis.
