Most of the IT systems and applications that you use do not stand alone and operate independently of each another. Most need to interact with at least one other system whether internal or external. It can be a simple piece of data such as someone’s name that needs to be inserted into another system or spreadsheet or a full real-time, bidirectional synchronisation.
Clareti has been helping its clients for many years integrating Zoho and other applications into their IT infrastructure; linking them together in a whole host of ways; making business easier and avoiding costly double data entry errors or data silos being established.
All of our integrations have been one of three types (or a combination):
1. Out of the box – ‘built-in’ – integrations
The major applications such as Zoho, Gmail, Microsoft etc. offer built-in integrations within their applications that are usually very easy to setup and run with good help documentation. It is interesting to note that Microsoft wasn’t keen around 10 years ago letting Zoho integrate their applications with theirs – preferring the other expensive CRM systems, however all that changed when Microsoft realised that Zoho really was the CRM elephant in the room with its 160 million users worldwide. Now they are very keen to allow a whole range of integrations with Zoho. How things change.
These built-in style of integrations offer ease-of-use and speed of implementation (sometimes only a few seconds) however they can be restrictive when you want to make changes or indeed filter the data that is synchronised or integrated. For instance Clareti has found the Eventbrite – Zoho CRM integration to be quite restrictive with few enhancements for many years so recommends doing a semi-custom integration as a more flexible option.
2. Semi-custom integrations
When we say semi-custom we mean that a integration ‘tool’ is used to integrate two systems or applications together. These tools allow the user to operate usually within a drag-and-drop environment to build data flows between applications using ‘triggers’ and ‘actions’.
They can allow highly complex integrations to be created by non-coders and people not familiar with APIs (see below). Clareti’s favourite integration engine is not surprisingly Zoho Flow which has a library of thousands of applications that can be linked together in hundreds of ways and is free for up to 3 flows (integrations). If you have a lot of ‘calls’ on the integration then you will need to purchase a licence. Others include Zapier and Syvia but these are mostly paid and usually a lot more costly than Zoho Flow.
3. Custom integrations
The world of fully custom integrations is rich in its variety and possibilities. The key to most modern integrations is the use of APIs (Application Programming Interface). An API is a software mule and a key that allows two separate applications to authenticate and exchange data. APIs allow a temporary link to be established and ‘get’ or ‘put’ (data) instructions triggered (and a whole host more).
